Meeting Rooms

Santa Clara County Library District is cancelling all group events/meetings through the end of April at our eight libraries.  While there are no documented cases of COVID-19 (novel coronavirus) related to our libraries, the decision was made as a precautionary measure due to rising concerns around possible transmission.  We apologize for any inconvenience this may cause. Full refunds will be issued for room booking cancellations starting Sat, Mar 7.  If you have questions about your refund, please contact the Community Librarian for the location of your reservation.

Looking for some meeting space?

Community groups are invited to use the Community Room and Redwood Room at Saratoga Library!

Certain meetings are not open to the public, such as Library and City staff meetings, interviews, training sessions, and the like. All other programs and meetings must be non-commercial, free, and open to the public.

Eligible Organizations (in priority order)

  1. Santa Clara County Library District
  2. Organizations whose programs are co-sponsored by SCCLD (Friends of the Library, The Reading Program, etc.)
  3. SCCLD related groups such as Library Commissions, Friends of the Library or library foundations or endowments
  4. City or Santa Clara County sponsored meetings
  5. Civic, school and nonprofit groups presenting programs of public interest

Making a Reservation

Before making your reservation, you must read and agree to adhere to the Library's Community Room Policy and Behavior Standards, as well as any room usage requirements for the room you are booking. You must have a valid SCCLD library card to book a room.

Reserve the Community Room

The Saratoga Library Community Room is available for use by public groups, as the whole room for 10-135 people. It includes 90 chairs, 10 tables, and a projection screen.

Please review the Community Room Usage Requirements and the Santa Clara County Library District Community Room Policy before making a reservation.

  • The Community Room may be reserved by groups of 10-135 people.
  • The Community Room may be reserved up to 90 days in advance.
  • A group may book the Community Room no more than once per month.
  • The maximum booking duration on a single day is 8 hours.
  • There is a non-refundable fee per booking for the Community Room.

Fees:

  • There is a non-refundable fee per booking for the Community Room: $25 for 4 or fewer hours, or $50 for more than 4 hours.
  • Acceptable forms of payment are: cash and check.
  • Checks should be made payable to the Saratoga Library, or to Santa Clara County Library.
  • The amount due must be paid within 7 days of receiving the approval for your reservation.
  • Payments may be made in-person. Mailing in the amount due is not allowed.

Reserve the Oak Room

Saratoga Library provides one medium-sized meeting room, called the Oak Room, located adjacent to the Learning Lab. It may be used by groups of 4 to 12 people for group study, discussions, or projects. The Oak Room has chairs and tables to accommodate up to 12 people, and a large screen to which people may connect devices for projection and collaboration purposes.

  • The Oak Room may be used by groups of 4 to 12 people.
  • The Oak Room may be reserved up to 30 days in advance.
  • A group may book the Oak Rom once per day.
  • The maximum booking duration on a single day is 2 hours.
  • If you do not arrive within 15 minutes of the start time of your reservation, the reservation is cancelled and the room may be booked by someone else.

Reserve the Redwood Room

Saratoga Library provides one small-sized meeting room, called the Redwood Room. It may be used by groups of up to 6 people for group study, discussions, or projects. The Redwood Room has chairs for up to 6 people, a table, and a collaboration station for broadcasting onto a television.

  • The Redwood Room may be reserved up to 7 days in advance.
  • A group may book the Redwood Room once per day.
  • The maximum booking duration on a single day is 2 hours.
  • If you do not arrive within 15 minutes of the start time of your reservation, the reservation is cancelled and the room may be booked by someone else.

Please use the cancellation link provided in your room booking confirmation email, or contact the Saratoga Library Adult reference desk in-person or at (408) 867-6126, to cancel a booking.


Library-Sponsored Events

After reviewing the Program Policy, please fill out this application to propose that the library sponsor an event that you (or your team) offer, to be held at the library. Due to the high volume of program applications we receive, we may only contact you if we may be interested in partnering with you on a future program/event.
