Saratoga Library Room Usage

Community Room | Oak Room | Redwood Room

Before reserving a room for use at the library you must read and agree to adhere to the room usage requirements for the room you are booking.

Community Room Usage Requirements

Book This Room

The Community Room accommodates 10 to 135 people.

Groups must read and adhere to the following usage requirements as well as the SCCLD Community Room Policy.

Fee

A nonrefundable fee is required for each use of the Community Room: $25 for 4 hours or less, $50 for over 4 hours up to 8 hours. It is payable 7 days after after confirmation of the reservation and before the use of the room, or the reservation will be canceled.

Reservations

  • The Saratoga Community Room is available for use during library open hours.
  • A group may use the Community Room only once per month.
  • Reservations may be made up to 90 days in advance.
  • The reservation time should include set-up and cleanup time.
  • Reservations may be made in person during Saratoga Library’s open hours or online.

Check-in

Notify the staff at the Accounts Desk that your group has arrived.

Room Setup

  • The group is responsible for arranging the chairs and tables before the meeting.
  • The group shall provide all needed equipment including television, DVD player, projector, etc. Staff assistance is not provided for room or equipment set-up.
  • Free wireless Internet access and a projection screen are available.
  • Nothing should be posted on walls or doors.

During the Program

  • Noise level should be appropriate for a Library.

Cleanup and Exiting

  • The room must be left clean and in the same or better condition in which it was found.
  • The group is responsible for putting the chairs and tables back after the meeting.
  • The group is responsible for bringing its own trash bags, cleaning the kitchen and the refrigerator, and removing all uneaten food, drinks, and trash from the Community Room.
  • Please turn out the lights, close the doors, and notify Library staff when you leave.

Oak Room Usage Requirements

Book This Room

The Oak Room is for groups with a minimum of 4 people and can accommodate up to 12 people.

Groups must read and adhere to the following usage requirements.

  • Reservations may be made online up to 30 days in advance.
  • A group may book the Oak Room once per day.
  • The maximum booking duration on a single day is 2 hours.
  • If you do not arrive within 10 minutes of the start time of your reservation, the reservation is canceled and the room may be reserved by someone else.
  • Please exit promptly at the end of your reservation so the following user may begin the next reservation time.
  • Covered drinks are permitted.
  • The Library's Behavior Policy applies to the meeting room.

Redwood Room Usage Requirements

The Redwood Room accommodates 1 to 6 people.

Groups must read and adhere to the following usage requirements.

  • Reservations may be made online up to seven days in advance.
  • Patrons may reserve the Redwood Room for up to 2 hours per day.
  • Groups are requested to limit their reservations to once per day. If the same group makes more than one reservation in a day’s time, subsequent reservations may be cancelled. The same restriction applies to multiple members of the same group; please do not make multiple reservations using different library cards on the same day.
  • If you do not arrive within 15 minutes of the start time of your reservation, the reservation is canceled and the room may be given to someone else.
  • Please exit promptly at the end of your reservation so the following user may begin the next reservation time.
  • Please don't cover the windows.
  • Food is not permitted.
  • Covered drinks are permitted.
